Meeting Minutes for AIAA Cape Canaveral Council Meeting held on November 19, 2015

Dr. Fleming called the meeting to order at 6:21pm – However, there was no quorum.



Voting Business

Approval of Minutes – no quorum; tabled and will approval of October council minutes be conducted via e-mail.



Treasure’s Report – no quorum; tabled and approval of the November treasure’s report will be conducted via e-mail.

  • Beginning balance: $1,342.67

  • Income: $2,858.38 for AIAA Cat I and Cat II Rebates

  • Expenses: $100 for Warbird Museum deposit, $21.69 for section food/drink, $134 for the region II student conference

  • Ending balance: $3,545.36

Primary Discussion Topics

  1. Recent Events

    • Robotics Showcase

      • There were a couple AIAA professional members in attendance. In total, over 140 people attended – this was about a 50/50 mix of students and industry professionals.

      • The 45th Space Wing Emergency Ordnance Disposal (EOD) unit was in attendance with a display of their bomb disposal robots.

      • The current venue for this event may not work next year, but it appears that Craig Tech may be willing to host the event at their facility next year.

  2. Upcoming event planning:

    • Fall Banquet, Fri. Dec. 4, 2014:

      • Volunteers are still needed to help with:

        • The meeting introductions and pledge of allegiance.

        • Registration of attendees (manning the table, checking off names and handing out nametags)

      • We also need help with advertising the event.

      • ACTION: Tristan volunteered to print the nametags, and Dr. Fleming will check to see if we still have the nametag holders from last year’s Fall Gala.

    • FIT dinner meeting, Feb. 4.

      • Sandy Magnus has asked to brief the section on new AIAA governance structure.

      • It sounds like the best way to do this will be to have her brief the section before the FIT dinner meeting, which can move from January to February to coincide.

      • ACTION: Dr. Fleming will ask if she may be able to brief us in April, to coincide with the next section dinner meeting, but for now we will plan on keeping to the Feb 4th date

    • E-Week Banquet:

      • We have an agreement with CCTS to act as the co-host for this dinner meeting, which is scheduled to take place on February 25th.

      • As a co-host, AIAA is responsible for:

        • Attendee registration and payment (utilize the PayPal account)

        • Soliciting sponsorship for the event

      • ACTION: Tony Mansk will gather points of contact for corporate sponsors into a list. Dr. Fleming will write a sponsorship request e-mail and send out the requests once a mailing list is complete.

      • We also typically utilize this event to present the AIAA Cape Canaveral Section Member of the Year Award.

        • ACTION: Tristan and Dr. Fleming will gather some pictures of past awardees with the intent of advertising the award at the Fall Banquet on December 4th.

        • Dr. Vu, as the council member in charge of awards, is responsible for coordinating the effort for soliciting nominees and for coordinating the award process. If anyone has any ideas or suggestions on how to increase interest in the award, or would be willing to help out in the process, please contact Dr. Vu.

    • CVD:

      • If you are interested in attending, please volunteer!

  3. Expenditures:

    • The promotional materials (pens, pencils) required a minimum quantity to the purchase (100), so the expense was a little more than originally estimated – the total came to $50 and $35 was the original estimate.

    • Our CCTS dues are overdue. These dues are $20 per year and allow access to the conference room. We also utilize some of the CCTS events as AIAA co-sponsored events, so membership in CCTS continues to be a benefit for AIAA. A 5-year payment would be $60, and we could be pro-rated for what we owed for last year into this year (we’re 6 months late on the payment, but were recently notified).

Committee Reports

  • Membership / Newsletter:

    • The newsletter was sent!

    • We have 274 professional members, 63 Educator Associates, 164 students; 6 new members this month – 3 transfers and 3 new. Tristan sent a welcome e-mail to the new members.

    • Will start organizing a membership event in the coming months.

    • Yuri’s Night is December 5th and we were requested to send out an invite to this event to the section

  • FIT Student Branch:

    • Finished their newsletter

    • Received sponsorship for design, build, fly

    • Buzz Aldrin will be speaking to the student branch in January

    • Student conference is April 4th to the 5th in Huntsville, AL

  • K-12 STEM:

    • AIAA National has an event for middle school students (7th and 8th grade)

      • We will need $150 to $300 to facilitate awards, and will need at least two additional judges in the late February/early March timeframe

      • This is an essay contest for 7th and 8th graders

      • Material for the contest will need to be developed, and sponsorships for the $150-300 are required (might put corporate logo/info on the event flyer as a sponsorship incentive?)

      • The winner of the contest is entered into the AIAA national competition

      • We will bring the winners, one for 7th and one for 8th grade, to the spring banquet, and the award will be presented at that event.


Action Item Log

  • Tristan volunteered to print the nametags for the Fall Banquet, and Dr. Fleming will check to see if we still have the nametag holders from last year’s Fall Gala.

Adjourn

The next council meeting will be held on Friday, December 4th, 2015 – this will be our dinner meeting. Council members will be asked to stay after the meeting for any official council business. The meeting after this will be on Thursday, January 21st, 2016.

The meeting was adjourned at 7:23pm.
